The overall purpose of the Project Support Analyst is to own and drive agreed aspects of the Project or Programme as agreed with the Project/Programme Manager.
The Project Support Analyst will:
To provide Project/Programme Managers with assistance in producing and maintaining meaningful plans in Planview to enable the Project/Programme Managers to monitor progress against tasks, and analyse the information to track project status
To assist Project/Programme Managers to create and maintain the project forecast in Planview in-line with the Project Accounting Timetable
To produce weekly figures detailing the spend and effort against forecast for the month. Once comments have been received from Project Managers then this document to be circulate to the Product and Finance Teams
To update the opportunities in Planview on a monthly basis in line with the Project Accounting Timetable
To produce the resource/demand information for CTS on a monthly basis following receipt of the data from PMO
To produce the milestones report weekly
To produce the Weekly Report for the CTS IT Solutions Director
To raise and receipt purchase orders
Assist the Project Managers with the raising of invoices/credit notes.
To keep a track of the monthly spend on customer projects to assist the Project Manager with the information required for invoicing.
Initiating and/or tracking the process for setting up new starters as required by the project team
To facilitate document management control, organisation of project filing and to monitor documents progress through the Corporate Document Management System |(DMS) on a Project/Programme's behalf.
To assist Project/Programme Managers in collating and producing Board packs. To attend Board meetings, act as scribe and contribute to discussions where appropriate
To request Project Codes and draw down Project budgets upon receipt of approved business cases
To set up a Project site on the Grid for each new project when it is initiated
To assist with the estimation process by facilitating kick-off meetings, review meetings and setting up estimates in the estimation tool.
To produce downloads of the estimates for future reference and ensure that estimates are finalised and approved by Solutions Delivery.
To raise and log Project/Programme risks, issues, dependencies on Planview and ensure that they have an owner to enable them to be reviewed, prioritised, monitored and mitigated
To update Risks and Issues on Planview where appropriate on behalf of project managers
To attend and minute key meetings as required by project governance, regular or ad-hoc. Ensure that actions are progressed ahead of the next scheduled meeting.
Experience of working in an IT organisation
* Good understanding of a typical project lifecycle
* Familiarity with project management methodologies, disciplines and tools
* Experience of project financial accounting, reporting and forecasting
* Good communication and presentation skills
* Proficiency in MS Office including Word, Excel and PowerPoint
* Proactive and able to work with minimal supervision
* Good organisation skills and a high level of customer focus
