You will be in charge of 2 payrolls
Manage the end to end payroll procedures & processes and validation sign off for ASL UK and expatriate employees. Conducts variance analysis and monitors the KPIs. Serve as a back-up for the payroll specialist to support payroll submission. Supervise, mentor and support the performance & development of the payroll and benefits specialist.
Create a payroll procedures manual for all payroll and benefits items. Identify process efficiencies, new ways of working and general improvements to the running of the payroll.
Lead all 3rd party relationships related to payroll and some benefits providers. Keeps up to date will statutory legislation and regulatory compliance requirements and changes for payroll and benefits processing.
Support the Reward manager with compensation and benefits platforms and processing/Analysis.
Manage the end to end payroll process and validation sign off for ASL UK and expatriate employees plus other mobility cases.
Responsible for ensuring accurate and timely monthly payroll processing and validation, resolving any payroll errors.
Monitor monthly payroll accuracy and reporting to reward manager.
Review and sign off payroll procedures manual, ensuring it is kept up to date.
Responsible for overseeing accurate benefits administration through payroll (e.g. pensions, childcare vouchers, cycle to work, car allowances, medical benefits, share match plan, PSP, Denplan, charity giving, trade union, social club etc.)
Supervise, mentor and support the performance & development of the payroll and benefits specialist. Observe compliance and best practice versus market. Keeps up to date with legislation and HMRC requirements.
Responsible for managing the ADP relationship and adherence to SLA.
Independently manages the vendor relationship and project manages any areas of escalation directly through to satisfactory resolution.
Review the full monthly payroll process and identify and implement improvements.
Lead and manage payroll projects example e-payslips implementation, payroll streamlining, reporting taxable benefits real time.
Lead the annual implementation for the share match plan including the communications and correct payroll processing, ensuring accurate data is provided to group reward for each cycle
Responsible for the annual benefits renewals analysis and recommendations and providing the employee data to third party brokers and raising the purchase orders for invoicing.
Review final benefits renewal outcomes with Reward manager prior to Reward Manager sign off.
Collaborate effectively with the HR team, key contacts in the company and external parties. Ensure absolute data confidentiality at all times and maintain an ethical code of conduct and sensitivity to the nature of the role.
Lead communications and relationship SLAs with relevant 3rd Party vendors.
Lead on internal communications when required.
Keep up to date with legislative requirements on payroll and benefits items.
Pensions legislation compliance and tracking of auto enrolment requirements, for example, making sure that employees are auto enrolled through Aviva AME Hub within required time frame & are receiving the relevant information and opt-outs processed. Keeping up to date with and ensuring compliance with statutory changes on auto enrolment staging and contribution rates. Investigate efficiencies in auto enrolment process and pensions processing.
Responsible for investigating and resolving payroll related errors and complexities from investigation to resolution.
Responsible for the administration of the Made4Us employee reward platform and ensuring content is kept up to date.
Responsible for validating monthly administration of the employee recognition scheme and loyalty awards through Made4Us, checking with Payroll specialist that process is running smoothly and appropriate funds are available on an ongoing basis.
Ad hoc payroll/reward projects such as the site wide roll out and implementation of E-payslips.
Ad hoc support to the Reward Manager.
Serve as a back-up for the payroll administrator to support payroll.
Responsible for overseeing accurate and timely benefits and salary sacrifice benefits administration through payroll (pensions, childcare vouchers, cycle to work, car allowances, medical, share match plan free shares and deductions, PSP shares).
Cross checking SMP annual free shares eligibility and delivery and accurate payroll processing for tax deductions.
Supply finance with annual share scheme filing data for HMRC. Supporting the accuracy and relevance of benefits materials on the internal HR system (HR Knowledge Centre).
Raise reward team PR's and authorise invoices related to payroll items such as payslips, childcare vouchers, cycle to work.
Request authorisation from Reward manager on other invoices.
Keeping up to date and making effective use of relevant systems and tools such as ADP, SAP, Reward Gateway, HR Knowledge Centre etc.
